X-Appointment

X-Appointment serves a wide variety of professionals whose businesses involve meeting clients by appointment.  Examples include accountants,solicitors and in particular the wider healthcare sector comprising doctors, dentists, psychologists, psychotherapists, physiotherapists, acupuncturists, osteopaths, chiropractors, opticians, veterinarians, masseurs, beauty therapists etc

In addition to answering your calls with absolute professionalism during your chosen hours, your Xceptional receptionist will continuously maintain your online appointment diary.  Once you work with Xceptional, all you need to do is view your online diary on your own PC or laptop from your own desk as it updates in real time.  Additional matters of importance (for example, problematic, irate or critical clients) can be viewed on the diary screen and/or via Email, instant message or SMS

In the larger healthcare sector, Xceptional has partnered with leading practice management software vendors (PPS, TM2 etc.) in order that our personnel can interface remotely with the diary functionality already in use on our clients comupters.

We provide many clients with the service of "appointment firming" whereby our personnel contact all of your clients the day prior to appointment to verify that they will in fact attend as arranged.  In many cases, appointment firming alone pays for the full Xceptional service by eliminating "DNAs", those unwanted and costly "holes" in your diary

 

X-Call

Xceptional X-Call involves our trained personnel professionally answering all of your phone calls and responding to callers in line with your specific instructions.  Following the Xceptional "initialisation" process, your Xceptional receptionist will be familiar with your day-to-day business and will know how you would wish each call to be handled.  All incoming calls will be managed with absolute professionalism and messages will be relayed to you in the format(s) you require

n addition to our dedicated service, Xceptional assists certain clients seeking shorter hours cover, relief cover and/or handling of excess calls at specific times.

Xceptional will be launching an enhancement to the X-Call service in the coming weeks whereby our clients will be able to access all messages within the secured Xceptional client zone of our website.  Watch this space!
