Q> What exactly happens to my phone(s) if I use the Xceptional service?

A> Whatever you like!  We can man 1 or more phones for you, continuously or for specific hours per week

Q> Do I need a new dedicated phone number?

A> No, only if you would prefer one.  Most clients prefer to use their existing phone number as its well known to clients and listed in phone books, Golden Pages, on websites etc.

Q> How does this online diary work? How can you handle our bookings for us?

A> If you are using this X-appointment service, you will need a PC or laptop connected to the Internet to use the online diary. Some clients will simply view this on their desk leaving our personnel to remotely update appointments in real time on your behalf.  Alternatively you may opt to update your own diary as well as your Xceptional assistant doing so (for example, a client just leaving your office or practice asks if they might see you again next week).  Where necessary, your Xceptional assistant can contact you for more urgent interaction via Email, instant message,phone and even SMS.  The choice is yours for each eventuality

Q> I'm really not technical and can barely switch on my PC. This service sounds complicated ... 

A> In reality, it could scarcely be simpler.  If you own a PC or laptop and can switch it on, we can guarantee you will be on top of this in a minute or two.  Typically you are talking about either viewing a single screen or typing onto it (for bookings).

Q> So what kind of things do I need to start using the Xceptional service?

A> To use X-call, our call handling service, nothing is needed bar your existing phone line.  To use X-appointment with the online diary, all you need is a PC or laptop connected to the Internet, ideally via broadband.

Q> I am technical.  What kinds of technology are you using to run the service?

A> The Afferent Group uses what we believe to the optimum mix of mature and newer technologies to handle the call traffic.  We work primarily with analog call traffic but are introducing VOIP selectively where quality can be suitably assured.  PBX systems currently in use include both Avaya and Asterisk.  Depending on clients' needs, we offer a choice of online calendaring and communication systems (see below).

Q> I am away from my office (practice, clinic) often.  Is there any way to receive calendar updates on the move?

A> Absolutely.  We can configure your X-appointment service to update you via SMS to your mobile when new appointments are made and/or existing ones changed or cancelled
